How Contactually Is Making Managing Relationships Easier

Contactually is a web-based CRM tool that will help maximize your network ROI, get more referrals and gain more repeat business, says the website. I've been using the service for over a year and closed new clients from working with it. The secret is the Bucket Game, but let me share a brief description of what a CRM is before getting into that. 

Customer relationship management (CRM) is an approach to managing a company's interactions with current and future customers. It often involves using technology to organize, automate, and synchronize sales, marketing, customer service, and technical support. - Wikipedia.

Contactually gives me the ability to add my contacts to different buckets (or groups). When I first started using it, I used the generic buckets it came with, but I recently updated this. Now I have specific buckets for specific groups of people, which makes keeping up with my networking much more efficient. 

I created a bucket for close friends and family, so I am reminded to check in with them more often. I have a bucket for new coaching, speaking and consulting clients, leads and former clients. Each bucket is set up to remind me to follow up after a set number of days.

Following up has never been easier, because Contactually tells me exactly who I should follow up with each day. The Bucket Game allows me to quickly add each contact to a certain bucket. Here is my brief Contactually Bucket Game video tutorial to show you exactly how this works.

Beyond Buckets

Another feature of Contactually I love is the ability to tag my contacts. For example, my friend, John Morgan is a personal branding expert, so I tagged him with this. When someone in my network asks me for a personal branding person, I search my Contactually account for "personal branding" and anyone with that tag appears in the results. This is especially helpful for common tags of people I know, like "WordPress, accountant, iOS developer, keynote speaker, lawyer, etc."

LinkedIn drove me crazy for a long time. I hated the way you could not send a personalized connection request on their mobile apps. I have written here before about the importance of sending a personal message and being human on LinkedIn.

How to send a custom LinkedIn connection request message on mobile

I am happy to report that issue has been solved in the current version of the LinkedIn Connected application.

To send the message click the three dots on the top right corner of the person's profile. You'll be given an option to send a customized invite. You can also forward their profile if you choose.

This is your chance to send them a friendly reminder of where you met and what you talked about. Be specific, so they will remember who you are. Don't forget to include a call to action in the message. Schedule a coffee, lunch or a phone call.

LinkedIn Star List

In the latest update of the iOS app (Version 2.4), you can now add a star to contacts that matter most to you. LinkedIn will give you more opportunities to keep in touch. The app note mentions this feature may not be available straight away, but should be rolled out fully soon.

Be Human on LinkedIn

How to send an invitation on LinkedIn When you send a LinkedIn invitation, a generic message appears. Don't just send this, tell me why you would like to join me on LinkedIn. A personal approach is always the better way. Be human.

Hi Joe,

It was a pleasure meeting you at XYZ event. I can't believe we have so much in common. Let's keep connected on LinkedIn. Please let me know if I can ever be of assistance.

Remember that you don't have to accept every invitation. LinkedIn reminds us to only connect with people we know, because:

  • They’ll have access to people you know.
  • Others may ask you about them and vice versa.
  • You’ll get updates on their activity.

The Mobile Caveat

Unfortunately, connection requests sent via LinkedIn (or third-party) mobile apps automatically default to the generic message. In this case, it's wise to follow up by email to let the person know you sent them a connection request.
